The protection of your personal data is very important to the Belgian National Orchestra. In this privacy statement we set out what measures we take to ensure your personal data are protected in accordance with Belgian privacy legislation and the European General Data Protection Regulation (GDPR). With this notice we seek to inform you clearly how we at the Belgian National Orchestra pay careful attention to protecting your data.

Roles of the Belgian National Orchestra

The Belgian National Orchestra acts as data controller for the processing of personal data in the various processes and systems that apply or are in place within the Belgian National Orchestra. At the same time the Belgian National Orchestra is also the  data processor for matters relating to the purchase of tickets for concerts at Bozar.

As data controller and/or as data processor, the Belgian National Orchestra will take the necessary technical and organisational measures to protect personal data. As data processor we will always grant assistance to the data controller in accordance with our data processing agreement. 


Activities of the Belgian National Orchestra

  1. Services relating to concerts at Bozar

For purchases of tickets for our concerts at Bozar, we work with our partners and request you to provide personal data. These data are used to enable us to provide our services. A ticket for a performance is personal and information is needed for: 

  • ticket issue
  • admission control
  • determination of price
  • mailing service before and/or after your visit 
  • contact in the event of programme change or cancellation

The data are stored on the secure servers of our ticketing provider (SRO). We will not combine these data with the other personal data in our possession. 
 

  1. Communication

When you contact us by email or post we may possibly retain these messages. Sometimes we ask you for your personal data that are relevant to the specific situation. This makes it possible to process your questions and to respond to your requests. The data are stored on our own secure servers in accordance with the storage durations as stipulated in the data processing register. We will not combine these data with other personal data in our possession. 

 

  1. Marketing

The Belgian National Orchestra uses personal data for marketing purposes. We regularly provide information about our activities via our monthly e-news and once a year by post. Everyone is free to subscribe or unsubscribe. 

  • E-news/Newsletter (e-mail): Sent out twice a month maximum. You can easily subscribe and unsubscribe through the link at the foot of each mailing. There is no automatic subscription to our E-news on the basis of your purchases. 
  • Annual brochure: The Belgian National Orchestra sends out an annual brochure by post on the basis of subscriptions. 
     
  1. Social media

The Belgian National Orchestra has a company page on Facebook, Instagram, Youtube, Vimeo, Spotify, Apple-Podcast, among others, to inform you about our activities, events, working with the Belgian National Orchestra, etc.     

You are free to choose whether or not to follow the Belgian National Orchestra on these social media.   


What data are collected? 

We receive and process data on participants in events/performances.

These data fall into the category "General Identification Data" and include: 

  • Last name
  • First name
  • Address (Street, number, postcode, municipality/town)
  • E-mail address
  • Telephone number
  • Optional: Mobile number
  • Optional: Company


Why do we collect your data?

We need these data for activities such as those mentioned above.

When you plan to purchase tickets or actually purchase them this is considered to be in the framework of a contractual agreement. 

Data may be communicated as part of the contractual agreement (e.g. ticket sale) or in the justified interests of the data controller. 

The marketing activities are based on

  • A contractual agreement (e.g. ticket purchase) or
  • Authorisation (this can be withdrawn at any time) 


How do we collect your data?

Data are collected in a number of ways, including through:

  • The purchase of tickets at Bozar
  • Contact forms on our website
  • Contacts through our partners
  • Social media


How long do we keep your data? 

The personal data are kept for as long as the cooperation continues and neither of the parties ends it. The data retention period for each activity is laid down in our data processing register and the statutory retention times must always be respected. 


Transfer to third parties

At no time do we sell or lease your data to persons or companies that are not a part of the Belgian National Orchestra. 

If we use an external data processor we will always ensure that your data are regarded as confidential and used in a secure manner. External data processors shall always be bound contractually to the Belgian National Orchestra. This ensures that the data processors can never use your personal data on their own initiative. 


Minimal data processing

The personal data we collect are adequate and relevant for our purposes. We limit our collection of your personal data to a minimum quantity required for the purposes for which we process the personal data. 


Automatic processing and profiling

The Belgian National Orchestra does not do any profiling and there is no fully automatic processing of your personal data.


How secure are your data?

We implement the necessary technical and organisational measures to ensure your personal data remain secure.

The Belgian National Orchestra makes every effort to thoroughly secure its network against unauthorized access and to protect the confidentiality of the personal data and company data of its customers and/or suppliers. 

At the organisational level, we have detailed information on security policy, an associated action plan, a privacy declaration and clear responsibilities and competences. The necessary processes and procedures are also in place to ensure that this policy is implemented and monitored to optimal effect. 


What are your rights and how can you exercise them?

As a data subject, you have a number of rights, as summed up in the GDPR and that include:
